Summary:
This position provides administrative support for the Pastors, Program Staff and General Staff.
Duties and
Responsibilities:
1.
Administrative Assistant to the Pastors (est.
20 hours per week) Assist Pastors in keeping track of appointments, priorities and tasks including:
Staff meetings (including worship staff and program staff) and assignments Appointments with church members, visitors, etc.
Manage Pastors' calendars and appointment schedules including:
Supervisory appointments with staff reports Registering Pastors for conferences and other events Working with Pastors to schedule weddings, funerals and baptisms and maintaining communication with staff for special events Assist Pastors with administrative leadership including:
Maintaining committee rosters and email distribution lists Sending out meeting reminders and agendas, taking and distributing meeting minutes (staff meetings) Scheduling zoom meetings and sending links and reminders Assist Pastors with correspondence including:
Serving as buffer for junk mail, phone calls, voice mails etc.
Assist with District and Conference Office communications and emails Assist with General/Jurisdictional/Annual Conferences responsibilities as needed Annual Reports Coordinate, complete and submit the Charge Conference report (September) to the Conference Coordinate, complete and submit Year End Report (February) to the Conference 2.
Administrative Assistant to Program Staff (est.
10 hours per week) Assist with emails/eblasts (Constant Contact) for SURGE, WBB, WISE and other programs as needed Assist Business Administrator with WBB tuition billing and reminders Assist Communications staff as needed 3.
General Administrative Assistant (est.
5 hours per week) Be available and cross-trained to provide backup for other staff as needed (e.
g.
phone/door duty, cover lunch breaks, absences etc.
) Attend staff meetings and facilitate the regular business of the churcho Attend other trainings as necessary Maintain church committee minutes as well as administrative assistant files Education and Experience Level:
Associates degree or above and at least 4 years as an Administrative Assistant Essential:
