Seasonal Administrative Specialist

Completes research and performs complex and confidential functions, including providing special project management and administrative support to the City Clerk Department.
Work requires utilizing independent judgment, tact, courtesy, business etiquette and discretion in completing projects, screening calls and visitors, answering and referring of requests for information, etc.
Acts as the Manager of all City Boards and Commissions.
Participates in the preparation, distribution and maintenance of official records and documents; assists in the implementation of legislative and document management software, as applicable; provides record retrieval assistance to the public as well as to the Mayor, City Council and staff; provides support as required in all aspects of the duties of the City Clerk; and any other duties as directed by the City Clerk.
It is the responsibility of this position that all work is completed in accordance with federal, state, and local laws and ordinances as well as the rules, regulations, policies and operating procedures for the City Clerk Department.
Is responsible for assisting internal department staff, including Directors, in the preparation of special projects and other confidential managerial tasks, and requires minimal supervision.
Requires comprehensive knowledge of municipal management, records/file management, superior customer service, legal requirements and has great attention for detail, as well as demonstrates excellent time management skills, flexibility in managing day-to-day workloads, demonstrates the ability to transcribe a variety of correspondences, and quickly, efficiently, and effectively learns new software and systems.
Education/
Experience:
Required:
High School Diploma supplemented with college level courses in public administration, business administration, office management, project management, or any equivalent combination of training and experience may be accepted.
Preferred:
Bachelor's degree in Public or Business Administration with 5 years high level administrative experience and two years' experience in a City or County Clerk's department/office performing in a similar role.
Experience in project management and project management software tools preferred.

Must obtain and maintain as a Notary Public appointment within the first 120 days of employment as a condition of continued employment.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
